About the Role
This position is to support a Partner in the firm with a large client base. It includes developing a relationship with clients and responding to their requests in a timely manner and working in a team environment.
This client service position is a full time position working in the office & remotely in San Ramon.
Prepare reports, memos, letters and other documents, using Word and Excel
Track all communication with clients, custodians and third-party administrators in Client Relationship Management software
Read and analyze incoming emails, voicemails, memos, statements, letters, and reports in order to determine their significance and coordinate their accomplishment
Open, sort, and process incoming correspondence, including faxes and email
File and retrieve documents, records, and reports in Laserfiche (electronic document management system)
Communicate directly with clients on a variety of topics, including cash requests, document preparation and information gathering
Work with custodians to prepare and process account forms and applications, coordinate account transfers, manage deposit and withdrawal requests
Track all financial and client-related paperwork, following up with clients to ensure timeliness and adherence to deadlines
Support the team, ensuring good communication with all team members
Manage and ensure Partner’s calendar is accurate
Support Partner with other requested tasks
Assist with client meeting preparation and follow up
Collect, organize and update client information in our systems
Requirements
Bachelor’s Degree
3+ years prior experience in an administrative/client service role (preferably in a financial service role)
Minimum 5 years total work experience
Experience working with Schwab and/or Fidelity custodians
Strong written and verbal communications skills as well as strong interpersonal skills
Excellent computer aptitude: ability to learn new software and systems quickly (we use Laserfiche, Naviplan, Morningstar, Tamarac reporting, Schwab Institutional, Fidelity Wealthscape)
Experience using CRM software
Problem solving skills
Marketing experience
Team player with experience working in a collaborative environment
Proficiency in Microsoft Office Suite and Canva
